AI receptionist software: build, buy or white label (2026)
In short
AI receptionist software comes in 3 forms: voice platforms you build on (Vapi, Retell, Bland), white label platforms you resell, and ready-made services you subscribe to. In November 2026, platforms cost about $0.07 to $0.31 per minute before your own work. Ready-made services start at $25 to $99 per month.
Search for “AI receptionist software” and you get three very different products under one name: developer platforms that give you the building blocks, white label platforms that let agencies resell under their own brand, and finished services you switch on. They differ in price, effort and who is responsible when a call goes wrong. This guide compares the three with prices checked on 5 November 2026.
What are the 3 types of AI receptionist software?
AI receptionist software is either a platform you build on, a platform you resell, or a service you subscribe to.
- Voice agent platforms (build). Vapi, Retell and Bland provide speech recognition, language models, voices and telephony through an API. You design the agent, connect it and run it.
- White label platforms (resell). Trillet, My AI Front Desk’s partner plans and HighLevel let an agency create receptionists for many clients under its own brand.
- Ready-made AI receptionists (buy). RingCentral, IONOS, Smith.ai, Upfirst and others. You fill in your business details and forward your number. Our ai receptionist guide explains how these work.
Key terms
- Voice agent platform: an API service that runs real-time voice conversations with a language model.
- STT / TTS: speech-to-text and text-to-speech, the “ears” and “voice” of the agent.
- LLM: the language model that decides what to say.
- Concurrency: how many calls run at the same time.
- White label: software you resell under your brand; the vendor stays invisible.
- Managed service: the vendor sets up and runs the receptionist for you.
What do voice agent platforms cost per minute?
Platforms charge per minute, split into components. The headline rate is low, but it is only the raw cost of a conversation. Prices checked on each platform’s own page on 5 November 2026, in USD.
| Platform | Platform fee | What else you pay | Free start | Concurrency | Compliance notes |
|---|---|---|---|---|---|
| Vapi | $0.05/min hosting | STT, LLM, TTS and telephony at provider cost. Estimate: $82 to $129 per 1,000 min | $5 credit | 4 at once free; Core $29/month for 10 | HIPAA add-on $2,000/month |
| Retell AI | $0.055/min voice infrastructure | LLM ($0.0016 to $0.32/min), TTS ($0.015 to $0.10/min), telephony ($0.015/min shown for Twilio/Telnyx) | $10 credit | 20 free, then $8 per extra call per month | “HIPAA / BAA” row in plan table; custom BAA on Enterprise |
| Bland AI | $0 (Start) or $299/month (Build) | $0.14/min (Start) or $0.12/min (Build) includes LLM, STT, TTS. Telephony extra | Start plan, no card | 10 (Start), 50 (Build) | Not stated on the pricing page |
Retell advertises “$0.07 to $0.31 per minute” for voice agents. Its own calculator example comes to $0.11 per minute: $0.055 infrastructure, $0.04 model, $0.015 voice, no telephony charge with your own SIP trunk.
These numbers are cheap compared with the $0.25 to $0.50 per minute that ready-made services charge. The difference pays for everything you would otherwise do yourself.
Should you build or buy AI receptionist software?
Buy unless you have developers, many receptionists to run, or needs no product covers. The build cost is mostly people, not minutes.
| Build on a platform | White label | Buy a ready-made service | |
|---|---|---|---|
| Who it suits | Software teams, call-heavy companies | Agencies serving many SMBs | A single business |
| Raw cost per minute | About $0.07 to $0.31 | About $0.12 plus plan fee | $0.25 to $0.50, or per call |
| Fixed monthly cost | $0 to $999+ | $99 to $500+ | $0 to $99 at entry |
| Your work | Prompts, integrations, testing, monitoring, on-call | Client setup, support, billing | Script and rules |
| Time to first call | Days to weeks | Hours per client after setup | Hours to days |
| Who answers for failures | You | You, to your clients | The vendor |
| Compliance paperwork | Yours to assemble | Shared, check the contract | Vendor’s DPA or BAA |
Three hidden costs make building more expensive than it looks:
- Engineering time. Calendar sync, CRM fields, transfer logic and error handling take days to build and keep breaking as APIs change.
- Quality assurance. Someone must listen to calls and fix prompts. Retell even sells AI quality checks at $0.10 per minute after 100 free minutes.
- Compliance. Data processing agreements, sub-processor lists, retention settings, disclosure wording. On a platform, you assemble them.
If the main reason to build is cost, check first what a free AI receptionist plan covers at your volume.
How does a white label AI receptionist work?
A white label AI receptionist lets an agency sell AI call answering under its own name. The platform hosts the agents. The agency onboards clients, sets prices and handles support.
Published entry points on 5 November 2026:
| Platform | White label entry | Included | Notes |
|---|---|---|---|
| Trillet | From $99/month | Studio 1,000 min; Agency 3,000 min | $0.12/min after included minutes, telephony extra. 7-day trial, card required |
| My AI Front Desk | From $500/month | Custom | “No price floor or ceiling” on resale |
| HighLevel | $297/month (Unlimited) or $497/month (Pro) | CRM platform; Voice AI billed on usage | White-label desktop app from Unlimited; “SaaS mode” on Pro only |
| Synthflow | Not published | Enterprise contract only | White label offered as an add-on to an annual contract |
Before you sign, ask 4 questions:
- Who owns the client relationship if you leave the platform: numbers, scripts, call history?
- What does telephony cost on top of the AI minutes, per country?
- Which compliance documents can you pass to your clients: DPA, sub-processor list, BAA?
- What is the platform’s uptime commitment, and what do you owe your clients when it fails?
The model works if you already serve local businesses and can support them. The margin is real, but so is the support load: every client’s wrong opening hours become your ticket.
Which ready-made AI receptionist software fits a small business?
For one business, ready-made software is the shortest path. If you mostly need someone to take messages, a simpler ai answering service for small business may be enough. Entry prices checked on 5 November 2026, in USD per month:
- IONOS: $39 for 30 calls, $99 for unlimited calls.
- RingCentral: $49 for 100 minutes, then $0.50 per minute. If you already pay for RingEX, see our RingCentral AI Receptionist alternative guide.
- Upfirst: $24.95 for 30 calls, 14-day trial.
- Smith.ai: free for 25 calls, $150 for 75.
The full ranking, with costs at 150 calls a month, is in our best ai receptionist for small business guide. For billing units and overage, see ai receptionist pricing, or run your own numbers in the pricing simulator. The ai receptionist comparison tool filters vendors by feature.
How do you choose AI receptionist software?
- Value the problem. Use the missed call cost calculator to see what unanswered calls cost before you price any software.
- Count receptionists. One business: buy. Ten or more clients: consider white label. A product of your own: build.
- Price your time. Add 10 to 20 hours of setup and 2 to 4 hours a month of review to any build estimate.
- Check the paperwork. DPA, hosting, retention, sub-processors. In the US, a BAA if you handle health data.
- Test real calls. Twenty calls with hard questions, one transfer at a busy hour, one call in each language you need.
Our phone answering checklist turns these checks into a grid.
How VocalReception handles this
VocalReception is a managed AI receptionist built in Europe, with no published API or integrations yet. The plan costs €79 per month excluding VAT and includes 400 minutes. Additional usage costs €0.25 per started minute, subject to a monthly spending cap you set. SMS costs €0.10 each, with none included. Done-for-you setup costs €199 once, credited on invoice 7 after 6 paid months. The first month is paid, with a 30-day money-back guarantee on its €79 plan fee; setup is excluded. There is no commitment. The team sets up and tests your line to go live in 7 days. Self-serve setup is coming soon, with a waitlist. Each month, an agent reviews transcripts and sends recurring unanswered questions for you to answer and update the FAQ. No audio is kept. Text transcripts are kept in the EU for about one month to produce the monthly unanswered-questions report, then deleted. See VocalReception pricing, or tell the team what you need it to handle.
Frequently asked questions
Should I build my own AI receptionist on Vapi or Retell?
Only if you have developers and a reason to. The platforms are cheap per minute, but you write the prompts, connect calendars and phone numbers, handle failures and keep it running. For one small business, a ready-made AI receptionist is usually cheaper once your time is counted.
What does Vapi cost per minute?
On 5 November 2026, Vapi charged $0.05 per minute for hosting, plus speech-to-text, language model, text-to-speech and telephony at provider cost. Its own calculator estimated $82 to $129 for 1,000 minutes. HIPAA compliance was a $2,000 per month add-on.
What is a white label AI receptionist?
It is AI receptionist software you resell under your own brand, usually as an agency. The platform runs the voice agents; you set prices and support clients. Trillet's white-label plans start at $99 per month, and My AI Front Desk's white-label partner plans start at $500 per month.
What is the difference between Retell and Bland?
Both are developer platforms for voice agents. Retell itemises its price: $0.055 per minute for voice infrastructure plus your chosen language model, voice and telephony. Bland bundles model, speech and voice into $0.14 per minute on its free Start plan, with telephony extra.
Is ready-made AI receptionist software GDPR compliant?
It depends on the vendor, not the category. Ask for a data processing agreement under GDPR Article 28, the hosting location of audio and transcripts, the retention period and the list of sub-processors. Building it yourself makes you responsible for all of that.
