After hours answering service: options and costs (2026)
In short
An after hours answering service picks up calls when your business is closed, takes the details and escalates real emergencies. In 2026, covering 100 after-hours minutes a month costs about $48 to $99 with an AI receptionist and $179 to $530 with a human service such as MAP, PATLive, Ruby or Smith.ai.
Your phone keeps ringing after you close. Some of those calls are routine, some are new customers and a few are real emergencies. This guide covers which calls arrive after hours, the 4 ways to handle them, what each costs for 100 minutes a month in 2026 and how to write routing rules so the urgent calls reach a person.
Which calls come in after hours, and why do they matter?
After-hours calls tend to fall into 3 groups:
- Urgent problems. A burst pipe, a lockout, a heating failure in winter, a tenant with water coming through the ceiling.
- New prospects. People who search and call in the evening, after their own working day, or at the weekend. Property buyers and renters are a typical case, covered in our guide to the AI receptionist for real estate.
- Routine requests. Rescheduling, opening hours, a question about an invoice.
The second group is the one most businesses lose without noticing. In a 2025 CallRail survey of 1,000 US consumers, 21% said they immediately call another business when a call goes unanswered, and 78% said they have abandoned a business after an unanswered call. An evening caller who reaches voicemail is often already talking to a competitor before you open.
Speed matters even for callers who wait. In “The Short Life of Online Sales Leads”, published in Harvard Business Review in March 2011, researchers analysed 1.25 million online leads at 42 US B2B and B2C companies and found that firms contacting a lead within an hour were nearly 7 times as likely to qualify it as firms that waited even an hour longer, and more than 60 times as likely as firms that waited 24 hours or more. The study looked at online leads, not phone calls, and does not establish a causal effect for inbound phone calls.

Key terms
- After-hours call answering: any arrangement that handles calls outside your opening hours.
- 24/7 answering service: a service that covers every hour, including nights, weekends and holidays.
- Overnight answering service: coverage for the night shift only, often from evening closing to morning opening.
- On-call rotation: a schedule in which one team member takes urgent calls outside hours.
- Emergency routing: rules that send specific calls to a person immediately.
- Fallback: what happens if the on-call person does not answer.
What are your options for after-hours calls?
1. Voicemail. Free and familiar. It records whatever the caller chooses to say, which is often nothing. It cannot separate an emergency from a routine question, and the caller has no idea when you will call back.
2. On-call rotation. One person on your team keeps the business phone overnight. Every urgent call reaches someone who knows the business. The cost is in people: interrupted nights, routine calls at 11 pm that could have waited, and staff fatigue. It also does not scale when several calls arrive at once.
3. Human answering service. A call center answers in your name, takes messages and follows an escalation list. PATLive, MAP Communications and Ruby are US examples with public prices. A human handles a distressed caller well. The trade-off is price per minute and limited concurrency.
4. AI answering service. Software answers every call, asks your questions, routes urgent ones and sends a summary of the rest. It costs less per minute and handles many calls at once. It follows rules rather than judgment, so the rules need care. See our ai answering service for small business guide for setup and scripts.
Many businesses combine options 2 and 4: AI answers every call, and only the calls that match an emergency rule reach the person on call.
How much does after-hours call answering cost for 100 minutes a month?
We priced 100 after-hours minutes a month, the volume of a small business with a few calls each evening and weekend. Per-call plans assume an average call of 2 minutes, so 50 calls. For each vendor we took the cheapest published option. Prices in USD per month, checked on 5 November 2026.
| Option | Type | Cost for 100 min | How we got there |
|---|---|---|---|
| Voicemail | Recording | Usually included with your line | No per-call cost |
| Dialzara | AI, per minute | $48.20 | Lite $29 + 40 × $0.48 |
| IONOS AI Receptionist | AI, per call | $48.80 | Flex $39 + 20 × $0.49 |
| RingCentral AI Receptionist | AI, per minute | $49 | 100 min included |
| Rosie | AI, per minute | $49 | Professional, 250 min |
| Upfirst | AI, per call | $54.95 | Starter $24.95 + 20 × $1.50 |
| Smith.ai AI Receptionist | AI, per call | $75 | Free + 25 × $3.00 |
| My AI Front Desk | AI, per minute | $99 | 200 min included |
| MAP Communications | Human, per minute | $179 | 125-min plan (PAYG would be $186) |
| PATLive | Human, per minute | $189 | 100-min plan (PAYG would be $348) |
| Ruby | Human, per minute | $395 | 100-min plan |
| Smith.ai receptionists | Human, per call | $530 | Starter $300 + 20 × $11.50 |
These are plan prices. They do not tell you whether a given plan covers nights, weekends and holidays, or what an emergency transfer costs. Ask each vendor before you sign. The on-call rotation is not in the table because its cost is staff time, not an invoice.

How should you route emergencies after hours?
An after-hours service is only as good as its escalation rules. Write them down before you switch it on. The examples below are a starting point, not a standard.
Trades (plumbing, heating, electrical, locksmith)
| If the caller says or confirms | Then |
|---|---|
| Water leaking now, flooding, burst pipe | Transfer to on-call phone; send address by SMS |
| Smell of gas | Tell the caller to leave the building and call the gas emergency number; then alert on-call |
| No heating and a vulnerable person in the home | Transfer to on-call phone |
| Locked out | Offer the earliest slot; transfer if your service is 24/7 |
| Quote request, routine repair | Take details; book a callback next working day |
Property management
| If the tenant says or confirms | Then |
|---|---|
| Water entering a unit or a ceiling | Transfer to on-call manager; log unit number |
| Fire, smoke or gas | Tell the caller to call emergency services first; then alert on-call |
| Front door or lock broken, building not secure | Transfer to on-call manager |
| No hot water, no heating | Take details; escalate by SMS if outside temperature or tenant situation calls for it |
| Noise complaint, rent question, parking | Take message; reply next working day |
Three rules apply to every business:
- Safety first. For danger to people, the first instruction is always the public emergency number, before any transfer.
- Always a fallback. If the on-call phone does not answer, define what happens: a second number, an SMS alert, or a firm callback time given to the caller.
- Tell the caller what happens next. “The engineer on call will phone you within the time we have agreed” beats “someone will get back to you”.
Our phone answering checklist includes a template for these rules.
Do you need to disclose that an AI is answering?
In the European Union, yes. Article 50 of the AI Act requires that people are informed they are interacting with an AI system, unless that is obvious from the context. The information must be given at the latest at the first interaction. This obligation applies from 2 August 2026.
For an after-hours line, the simplest approach is one sentence in the greeting: “You’ve reached the Martin agency outside office hours. I’m the AI assistant. How can I help?” Do not let the AI claim to be a person, even if a caller asks. If you use a human service, no AI disclosure is needed, but the caller should still know they are talking to an answering service rather than your staff when that matters.

How VocalReception handles this
VocalReception covers after-hours calls as an AI receptionist: it answers in under 2 seconds, says it is an AI in the greeting, transfers to your on-call phone on your rules and emails a lead sheet for every other call. The plan costs €79 per month excluding VAT and includes 400 minutes. Additional usage costs €0.25 per started minute, subject to a monthly spending cap you set. SMS costs €0.10 each, with none included. Done-for-you setup costs €199 once, credited on invoice 7 after 6 paid months. The first month is paid, with a 30-day money-back guarantee on its €79 plan fee; setup is excluded. There is no commitment. The team sets up and tests your line to go live in 7 days. Self-serve setup is coming soon, with a waitlist. Each month, an agent reviews transcripts and sends recurring unanswered questions for you to answer and update the FAQ. No audio is kept. Text transcripts are kept in the EU for about one month to produce the monthly unanswered-questions report, then deleted. Full details are on the VocalReception pricing page, and the demo replays an after-hours call step by step.
Frequently asked questions
How much does an after hours answering service cost?
For 100 minutes a month, public 2026 prices range from $48.20 (Dialzara Lite plus overage) to $99 for AI services, and from $179 (MAP) to $395 (Ruby) for human services billed per minute. Check that the plan you choose covers nights and weekends.
Is voicemail enough after hours?
Often not. In a 2025 CallRail survey of 1,000 US consumers, 42% said they leave a voicemail and 21% said they immediately call another business when nobody answers. Voicemail also cannot tell an emergency from a routine request.
How does an answering service handle emergencies at night?
You define the rules. Calls that match emergency keywords or conditions are transferred to an on-call phone or escalated by SMS. Everything else gets a detailed message and a callback time. Always add a fallback if the on-call person does not answer.
Does an AI after-hours service have to say it is an AI?
In the EU, yes. Article 50 of the AI Act, which applies from 2 August 2026, requires that people are informed they are interacting with an AI system at the latest at the first interaction, unless it is obvious.
Can I use an after hours answering service only on weekends?
Yes. Most phone systems let you schedule call forwarding, so calls go to the service only outside the hours you set, including weekends and public holidays.
