AI answering service for small business: setup guide
In short
An AI answering service for small business answers calls you cannot take, then qualifies the caller and acts: it books, routes or sends a structured summary. A traditional answering service only takes messages. In 2026, paid AI entry plans cost $24.95 to $99 per month, while a human message service such as MAP starts at $179 for 125 minutes.
A classic answering service writes down who called and why. An AI answering service does that too, then keeps going: it asks the questions you would ask, answers what it can and decides what happens next. This guide covers how to set one up on your existing number, what to write in the script and how it plays out for 4 kinds of small business.
What does an AI answering service do that a message service does not?
The traditional answering service has one job: capture a message. An operator answers, notes the name, number and reason for the call, and sends it to you. You still have to call back, ask the real questions and qualify the request.
An AI answering service moves that work into the first call:
- It qualifies. It asks for the job type, address, timing or budget, the same way every time.
- It answers. Opening hours, service area, price ranges, documents to bring.
- It acts. It books a slot, routes an emergency to the on-call phone or sends an SMS with a link.
- It reports. You receive a structured summary, not a scribbled note.
The difference matters because callers do not wait. In a 2025 CallRail survey of 1,000 US consumers, 78% said they have abandoned a business after an unanswered call. A message that says “please call back” competes with every other business the caller tried in the meantime. A call that ended with a booked appointment does not.

Key terms
- Unconditional forwarding: every call to your number goes straight to the answering service.
- Conditional forwarding: calls are forwarded only in certain cases, such as busy, no answer or unreachable.
- No-answer forwarding: calls ring on your phone first and move to the service after a set number of seconds.
- Busy forwarding: calls move to the service when your line is already in use.
- Script: the instructions the AI follows: what to say, what to ask, what to do.
- Escalation rule: a condition that sends a call to a person, such as “gas leak” or “existing client”.
How does a message service compare with an AI answering service and voicemail?
Prices in USD per month, from public pricing pages checked on 5 November 2026.
| Voicemail | Message-taking service (human) | AI answering service | |
|---|---|---|---|
| Who answers | Nobody, a recording | Operator at a call center | Software, with a voice |
| What you get | An audio file, if the caller leaves one | A short written message | A structured summary, plus any booking or transfer |
| Qualifies the caller | No | Basic questions | Yes, with your questions |
| Books or routes | No | Sometimes, depending on plan | Yes, on your rules |
| Calls at once | Depends on your line | Limited by staff | Many |
| Entry price | Usually included with your line | $99 for 50 min (PATLive); $179 for 125 min (MAP) | $24.95 for 30 calls (Upfirst) |
| Extra unit | None | $2.29/min (PATLive 50-min plan); $1.30/min (MAP 125-min plan) | $1.50/call (Upfirst Starter) |
| What the caller experiences | A beep | A person, then a callback | An answer during the call |
Voicemail is cheapest on paper, but CallRail’s 2025 survey found that only 42% of consumers leave one. The rest hang up, and 21% call another business straight away. Our guide to the cost of missed calls explains the logic, and the missed call cost calculator puts a value on that gap for your business.
How do you set up an AI answering service on your existing number?
You keep your number. You change where calls go when you cannot take them.
1. Choose the forwarding mode.
- Unconditional forwarding sends every call to the AI. Use it if you never want to pick up yourself, or outside opening hours.
- No-answer forwarding lets your phone ring first. If nobody picks up after a set delay, the AI answers. This is the most common choice for small teams, because you still take the calls you can.
- Busy forwarding sends the call to the AI when you are already on the line. Combine it with no-answer forwarding to catch both cases.
- Unreachable forwarding covers the moments when your mobile has no signal or is switched off.
Mobile carriers and business phone systems each have their own way to activate these modes. Check your provider’s help pages or your phone system’s settings, and test each mode with a second phone.
2. Set the ring delay. If you use no-answer forwarding, choose a delay short enough that callers do not give up, but long enough for you to reach the phone.
3. Add a schedule if you need one. Many phone systems let you forward unconditionally outside opening hours and conditionally during the day.
4. Test. Call from an outside number in every mode: busy, no answer, after hours. Read the summary each time.
If calls after closing time are your main problem, our after hours answering service guide goes deeper on that case.
What should you put in the script?
The script is where the value is. Write it as you would brief a new receptionist.
- Greeting. Business name, a clear statement that the caller is speaking to an AI assistant, and an open question. In the EU, Article 50 of the AI Act requires that disclosure from 2 August 2026.
- Business facts. Services, service area, hours, address, parking, price ranges you are happy to quote.
- Qualifying questions. The 3 to 5 questions you always ask before quoting or booking.
- Actions. When to book, when to send a link by SMS, when to take a message.
- Escalation rules. Which words or situations trigger a transfer, and to whom.
- Things never to say. Firm quotes, diagnoses, legal opinions, promises about timing you cannot keep.
- Summary format. The fields you want in every call summary, in the order you read them.
Our phone answering checklist turns this list into a fill-in template.
What does an AI answering service look like by trade?
These are illustrative scenarios, not case studies. They show how the script changes by business.
Plumber. A call at 6:40 pm: water coming through a ceiling. The AI asks for the address, whether the water is turned off and whether there is a risk to electrics. The word “leak” with “ceiling” matches an emergency rule, so the AI transfers the call to the on-call phone and sends the address by SMS. A routine call about a dripping tap gets a booking request for the next working day instead.
Clinic. A patient wants to move an appointment. The AI checks identity with name and date of birth, offers available slots and confirms by SMS. When a caller describes chest pain, a rule tells the AI to direct them to emergency services and to flag the call. The AI never comments on symptoms.
Law office. A prospect calls about a dispute with a landlord. The AI collects the name, contact details, the type of matter and the opposing party’s name for a conflict check, then books a first consultation. It does not say whether the case is strong. Existing clients who ask for their lawyer are transferred during office hours.
Agency. A marketing or real-estate agency receives a call from a prospect who saw an ad. The AI asks about budget, timing and what the prospect wants, then sends a lead summary to the account manager. If the caller speaks another language, a multilingual system answers in that language. For real estate specifically, see our ai receptionist real estate guide.
How much does an AI answering service cost?
AI plans for small businesses usually bill per minute, per call or per unique customer. Entry plans in 2026 run from $24.95 (Upfirst, 30 calls) to $99 (My AI Front Desk, 200 minutes). Human message services cost more per unit: PATLive’s pay-as-you-go plan is $49 plus $2.99 per minute, and MAP’s is $49 plus $1.37 per minute. All prices in USD, checked on 5 November 2026.

How VocalReception handles this
VocalReception works as an AI answering service for small businesses. It says it is an AI in the greeting, qualifies callers in 7 languages, transfers on your rules and emails a structured lead sheet after each call. The plan costs €79 per month excluding VAT and includes 400 minutes. Additional usage costs €0.25 per started minute, subject to a monthly spending cap you set. SMS costs €0.10 each, with none included. Done-for-you setup costs €199 once, credited on invoice 7 after 6 paid months. The first month is paid, with a 30-day money-back guarantee on its €79 plan fee; setup is excluded. There is no commitment. The team sets up and tests your line to go live in 7 days. Self-serve setup is coming soon, with a waitlist. Each month, an agent reviews transcripts and sends recurring unanswered questions for you to answer and update the FAQ. No audio is kept. Text transcripts are kept in the EU for about one month to produce the monthly unanswered-questions report, then deleted. See the VocalReception plan and overage pricing, or ask the team to set up your answering script.
Frequently asked questions
Can I keep my business number with an AI answering service?
Yes. In most setups you keep your number and forward calls to the AI, either all the time or only when you are busy or do not answer. Nothing changes for callers, and you can switch forwarding off at any time.
What is the difference between an answering service and an AI answering service?
A traditional answering service takes a message and passes it on. An AI answering service also asks qualifying questions, answers common questions, books appointments and routes urgent calls according to your rules, then sends you a structured summary.
How long does it take to set up an AI answering service?
The phone part takes minutes: you activate call forwarding. The work is in the script: your services, prices, hours, questions to ask and transfer rules. Plan a few hours to write it and a few days of test calls.
Is voicemail good enough for a small business?
For many callers, no. Fewer than half of consumers leave a message: 42% in CallRail's 2025 survey of 1,000 US consumers. Voicemail also gives you a recording to decode, not a qualified request, so every message still needs a callback.
Does an AI answering service work for regulated trades like clinics or law firms?
It can handle intake, scheduling and routing, but it must not give medical or legal advice. Write a rule that sends clinical or legal questions to a professional, and check how the vendor stores call data.
