AI receptionist

AI receptionist for real estate: win the first call (2026)

In short

An AI receptionist for real estate answers listing calls, qualifies buyers, renters and sellers, and sends an agent a lead sheet. NAR’s 2025 US housing survey of 6,103 respondents found that 80% of sellers contacted only one agent. That does not prove the first agent to answer wins; use your own follow-up records.

Property calls arrive when agents are busy: during a viewing, in the evening after a listing goes live, on Sunday afternoon. The caller who reaches voicemail often just dials the next agency. This guide shows how an AI receptionist answers those calls, what it should ask, how it routes leads and what it must never do.

What do the real-estate studies tell us?

The NAR 2025 housing report, based on 6,103 US respondents covering transactions from July 2024 to June 2025, found that 80% of sellers contacted only one agent, while 76% of repeat buyers and 67% of first-time buyers interviewed only one. This describes agent selection, not whether the first agent to answer a call won the business. It is not evidence about Belgian agencies.

In a 2011 Harvard Business Review study of 1.25 million online leads at 42 US B2B and B2C companies, firms attempting contact within an hour were nearly 7 times as likely to qualify a lead as firms waiting even an hour longer. This correlation concerns online leads, not an inbound-phone experiment. A separate audit in that article covered 2,241 US companies across sectors receiving web-form enquiries: 37% responded within an hour and average response time was 42 hours.

Voicemail does not close that gap. In a 2025 CallRail survey of 1,000 US consumers, only 42% said they leave a voicemail, and 21% said they immediately call another business. Our guide to the cost of missed calls provides an illustrative formula using separately stated assumptions, with a worked example for an agency, and the missed call cost calculator provides a separate scenario to compare after checking its assumptions.

Key terms

  • AI receptionist: software that answers inbound calls with a synthetic voice, follows your rules and sends a summary.
  • Lead sheet: the structured summary emailed after each call, ready for the agent to act on.
  • Listing agent: the agent responsible for a property on the market and for the seller relationship.
  • Pre-approval: a lender’s conditional confirmation of how much a buyer can borrow.
  • Steering: guiding a client toward or away from an area or property based on who they are rather than what they asked for.
  • Warm transfer: the AI passes the live call to an agent, with context, instead of taking a message.

Why do expat and relocation clients need a different phone setup?

International buyers and renters raise the stakes on every missed call.

  • Time zones. A family relocating from Singapore or Toronto calls when it suits them, which is often night or early morning for your office.
  • Languages. The caller may prefer French, Dutch, Spanish, Portuguese, Italian, German or English, and switch between them. A receptionist who only speaks one language loses part of the conversation.
  • Deadlines. Relocation has fixed dates: a job start, a school term, a lease end. A renter who needs a flat by the 1st of next month will sign with whoever shows them one first.
  • Remote decisions. Many expats shortlist from abroad. They need fast, clear answers on availability, viewing options and documents before they fly in.

An AI receptionist answers at 3 am in the caller’s language, records the deadline and books the next step. A voicemail in one language does none of that. Our guide to the after hours answering service options covers evening and weekend cover in more detail.

What should an AI receptionist ask a property caller?

Keep the script short. 6 to 8 questions are enough for a first call.

  1. “Are you looking to buy, rent or sell?”
  2. “Are you calling about a specific property? Do you have the reference or the address?”
  3. “What budget range are you working with?”
  4. “When would you like to move in, or to sell?”
  5. “Do you have financing in place or a mortgage pre-approval?” (buyers)
  6. “Where are you based right now, and what time zone are you in?”
  7. “What is the best number and email to reach you, and in which language?”
  8. “Would you like to book a viewing or a valuation, or have an agent call you back?”

For a seller, swap questions 3 and 5 for the property address, type and the reason for selling, if the caller wants to share it.

What does a real estate lead sheet look like?

Here is an example of what an agent should receive after a call. The data is fictional.

FieldExample
NameLaura Mendes
LanguagePortuguese (switched to English)
Phone+351 9XX XXX XXX
Emaillaura.mendes@example.com
IntentRent
Property refAPT-2214, 2-bed flat, city centre
Budget€1,800 to €2,100 per month
Move-in date1 February
Financing / pre-approvalNot applicable (rental), employer letter available
Current location / time zoneLisbon, UTC+0
UrgencyHigh: job starts 3 February
Next stepVideo viewing requested Thursday 18:00 local time, agent to confirm by email

The format matters as much as the content. One lead per email, the same fields in the same order, so the agent can act in 30 seconds or paste it into the CRM.

How should calls be routed in an agency?

Write the routing rules before you go live. Typical rules:

  • Seller leads go straight to the listing agent or the valuation lead, by warm transfer during office hours and by priority email outside them.
  • Calls about a specific listing go to the agent on that listing. The AI answers basic questions from the listing sheet and books a viewing slot.
  • Rental enquiries go to the lettings team, with the move-in date in the subject line.
  • Existing clients (an offer in progress, a signing date) get a transfer to their agent or an urgent message.
  • Landlord and tenant maintenance calls go to property management, not to sales.
  • Out-of-hours urgent calls follow a separate rule: a callback promise with a time, or an on-call number for real emergencies such as a flood in a managed property.

Everything else becomes a lead sheet in the shared inbox.

What must an AI receptionist never do in real estate?

Never ask about protected characteristics. Fair housing and anti-discrimination rules apply to how agencies deal with the public, and an AI speaking for your agency is no exception. The script should not ask about a caller’s origin, religion, family situation, disability or similar characteristics, and it should not comment on who lives in a neighbourhood. Stick to the property and the transaction: budget, size, location asked for, timing, financing.

Never steer. If a caller asks for a neighbourhood, the AI gives information on that neighbourhood’s listings. It should not suggest that an area would or would not “suit” the caller. Answers about schools, safety or “the kind of people” in an area belong with a person who knows the rules, or with official sources. Check the rules in your own country with your professional body.

Never pretend to be human. In the EU, Article 50 of the AI Act, which applies from 2 August 2026, requires that callers are informed they are interacting with an AI system, at the latest at the first interaction. A greeting such as “Hello, you’ve reached the Martin agency, I’m the agency’s AI assistant” covers it. If a caller asks for a person, the routing rules decide what happens next.

Voicemail, answering service or AI receptionist: which suits an agency?

Here is how the 3 options compare for a typical agency, as of 2026. For prices, see the ai receptionist pricing guide.

How VocalReception handles this

Real-estate agencies serving expats are VocalReception’s first vertical. VocalReception answers in under 2 seconds in 7 languages (French, English, Dutch, Spanish, Portuguese, Italian, German), detected from the caller’s first words, says it is an AI in the greeting, emails a structured lead sheet like the one above after every call and transfers to an agent on your rules. The plan costs €79 per month excluding VAT and includes 400 minutes. Additional usage costs €0.25 per started minute, subject to a monthly spending cap you set. SMS costs €0.10 each, with none included. Done-for-you setup costs €199 once, credited on invoice 7 after 6 paid months. The first month is paid, with a 30-day money-back guarantee on its €79 plan fee; setup is excluded. There is no commitment. The team sets up and tests your line to go live in 7 days. Self-serve setup is coming soon, with a waitlist. Each month, an agent reviews transcripts and sends recurring unanswered questions for you to answer and update the FAQ. No audio is kept. Text transcripts are kept in the EU for about one month to produce the monthly unanswered-questions report, then deleted. See the VocalReception plan for agencies, or follow an expat rental call in our demo.

Frequently asked questions

Can an AI receptionist qualify real estate leads?

Yes, for the structured part. It asks whether the caller wants to buy, rent or sell, which property they are calling about, their budget, timing and financing status, then emails a lead sheet. The agent handles viewings, advice and negotiation.

Should a real estate AI receptionist ask about a caller's family or origin?

No. The AI should ask only about the property and the transaction: budget, timing, size, location, financing. Questions about protected characteristics, or steering callers toward or away from areas, can breach fair housing and anti-discrimination rules. Review the script with that in mind.

Does the AI have to say it is not a human agent?

In the EU, yes. Article 50 of the EU AI Act, applicable from 2 August 2026, requires that callers are informed they are interacting with an AI system at the latest at the first interaction. One sentence in the greeting is enough.

How fast should an agency respond to a property inquiry?

Within the hour, and ideally live. A 2011 Harvard Business Review study of 1.25 million online leads at 42 US B2B and B2C companies found firms responding within an hour were nearly 7 times as likely to qualify the lead as firms that waited even an hour longer. This is online-lead context, not proof of an inbound-phone effect.

Is an AI receptionist useful for agencies serving expats?

It is one of the clearest cases. International buyers and renters call from other time zones, often outside office hours, and may prefer another language. An AI that answers at any hour and switches language captures leads that voicemail loses.
