Phone answering checklist for small businesses

Good phone answering comes down to 20 points across 6 areas: availability, greeting, qualification, transfer, follow-up and compliance. Pick up within 3 rings, cover lunch, evenings and weekends, log every request in a call sheet and call back within a set time. Since 2 August 2026, the EU AI Act also requires callers to be told when they are talking to an AI.

Availability 0/4
  • After that, many callers hang up and call a competitor.

  • These are often the only times your clients have to call.

  • A busy tone or a silent wait suggests nobody will ever answer.

  • Callers know when you reopen and who to contact in an emergency.

Greeting 0/3
  • Callers know at once they have the right number and who they are talking to.

  • A smile can be heard on the phone and sets the tone for the whole relationship.

  • In Belgium, a client may call in French, Dutch or English.

Qualification 0/3
  • You route the call correctly and the caller does not have to repeat themselves.

  • A wrong number is a client you will never be able to call back.

  • A water leak is not handled like a request for a quote.

Transfer 0/3
  • Without rules, everyone improvises and the caller is passed from desk to desk.

  • The person who takes over already knows who is calling and why.

  • Take a message or book a callback: a call should never get lost.

Follow-up 0/3
  • Reason, contact details, urgency and next step sit in one place the whole team can read.

  • A prospect called back the next day has often already chosen someone else.

  • Answer rate, missed calls and callback time show where you are losing clients.

GDPR and AI Act compliance 0/4
  • Article 50 of the EU AI Act requires it from the start of the interaction, since 2 August 2026.

  • GDPR Article 13 requires informing callers when data is collected, so at the start of the call.

  • Data cannot be kept forever; the French regulator CNIL recommends 6 months at most for recordings.

  • GDPR Article 28 requires a contract with any provider that processes your clients’ data.

How it is calculated

The checklist combines common customer-service practice with the legal obligations that apply to answering business calls in the EU. Only tick a point if it holds for every call, not just when you happen to be available.

Formula

  1. Score (%) = points checked ÷ 20 × 100
  2. Every point carries the same weight: 1 in 20
  3. 0 to 9 points = At risk; 10 to 15 = Fair; 16 to 19 = Solid; 20 = Exemplary
  4. Area score = points checked in the area ÷ points in the area

Assumptions

  • The first 16 points come from customer-service practice: time to answer, transfer with context, callback time, KPI tracking.
  • The 4 compliance points follow from the GDPR and the EU AI Act. If you do not record calls or do not use AI, tick that point: there is nothing to do.
  • Your answers stay in your browser. The share link only contains the list of checked points.
  • This checklist is not legal advice. For a specific case, ask your DPO or a lawyer.

Frequently asked questions

What does good phone answering look like for a small business?

Every call is picked up quickly, the caller is identified, the request is logged in a call sheet and handled within a set time. It also covers the hours when you are unavailable and complies with the GDPR.

Do I have to tell callers they are talking to an AI?

Yes. Since 2 August 2026, Article 50 of the EU AI Act (Regulation (EU) 2024/1689) requires people to be informed that they are interacting with an AI system, unless it is obvious. The duty falls first on the provider of the system: choose a tool that says so in its first sentence.

Can I record calls with my clients?

Yes, for a specific purpose and with a legal basis. Callers must be informed at the start of the call (GDPR Article 13) and told how to object. The French regulator CNIL recommends keeping recordings for 6 months at most.

How can I tick all 20 points without hiring?

An AI receptionist such as VocalReception answers every call 24/7, introduces itself as an AI, qualifies the request and emails you a call sheet. The €79 monthly plan excl. VAT includes 400 minutes, then €0.25 per additional started minute and €0.10 per SMS. Setup costs €199, credited back after 6 paid months.

Stop letting calls go unanswered
